Parties
A. FASHIONCLASH Foundation, hereinafter referred to as FC.
B. The party receiving this document, hereinafter referred to as the Participant.
Definitions
For the purposes of these Terms & Conditions, the following terms shall have the meaning ascribed to them below:
“FC” refers to FASHIONCLASH: The organizing entity responsible for the execution, coordination, and communication of NFN/ NFNR.
“FCF” refers to FASHIONCLASH Festival 2025: The event in which the NFN exhibition will be presented, taking place in Maastricht from 14-16 November 2025.
“NFN” refers to New Fashion Narratives: a research and curatorial initiative organized in the context of the FC research program and FASHIONCLASH Festival 2025.
“NFNR” refers to New Fashion Narratives Residency: A short residency in Maastricht where a group of four fashion practitioners collaboratively develop the co-curatorial concept for the NFN exhibition.
“Participant” refers to a selected fashion practitioner who takes part in NFNR and follows the process as outlined in these Terms & Conditions.
“CT” refers to curatorial team, the group of four fashion practitioners who collaborate to develop the co-curatorial concept.
1. Context
1.1 NFN is an initiative of FC, organized as part of its research program and in connection with FCF (14-16 November 2025). NFN includes a 4-day residency in Maastricht, the NFNR, where four selected fashion practitioners collaborate as CT to develop the co-curatorial concept for a multimedia exhibition at Bureau Europa during FCF.
1.2 NFN follows a co-creative process divided into four phases, beginning with the NFNR (15-18 April 2025). During this phase, the NFN concept is initiated, and in subsequent phases, the selection of NFN exhibition participants and further curatorial and production development take place.
2. Working Method and Meetings
2.1 All fashion practitioners are invited to apply for the Open Call for NFNR.
2.2 NFN consists of four phases, with key meetings and milestones outlined below. Additional group meetings between the CT and/or with FC will be scheduled as needed.
2.3 FC is responsible for production, facilities, and administrative management of the project.
Phase 0: Open Call for Participants
Application deadline: Monday 31 March,23:59 (CET)
Announcement selected participants: Week 14 (1-4 April 2025)
Kick-off meeting (online): Thursday 10 April 2025, 16:30 – 17:30 (CET); introduction, explanation of the trajectory, hosted by FC.
Phase 1: NFNR (15-18 April 2025)
2.3 NFNR takes place physically in Maastricht, The Netherlands. FC team members will be present for coordination and discussion to support the co-creative process of the CT.
2.4 Participant must attend the full program in person, which includes introductory sessions, brainstorms, work sessions, location visits, and walks.
2.5 The final outcome of NFNR consists of a curatorial concept and a corresponding action plan outlining the further development of the NFN exhibition. The concept will be presented and discussed with FC on the last day of NFNR.
2.6 FC provides accommodation (4 overnight stays) and meals (breakfast and lunch). A (3x) daily max. fee (see 4.5 for details) for dinner can be reimbursed after Phase 1. Participant will share accommodation and will not have an individual sleeping space.
Phase 2: Elaboration of Concept & Selection (May – July 2025)
2.7 This phase includes the development of the full NFN exhibition concept and finalization of curatorial statement. This process takes place in consultation with FC.
2.8 Important dates:
Delivering full NFN exhibition concept and curatorial statement: Thursday 1 May 2025
Launch Open Call for NFN exhibition participants: Tuesday 13 May 2025
Application deadline for NFN exhibition participants: Monday 7 July 2025, 23:59 (CET)
Selection Day: Thursday 10 July 2025
Selected NFN exhibition participants informed: Week 29 (14-18 July 2025)
Online Kick-off with selected NFN exhibition participants: Tuesday 22 July 2025 16:00 -17:00 (CET)
PR materials for NFN exhibition participants deadline: Monday 1 September 2025, 23:59 (CET)
Attendance by Participant at the Selection Day and the Online Kick-off is mandatory.
Phase 3: Exhibition Preparation (September – November 2025)
2.9 This phase involves finalizing the NFN exhibition, collecting PR materials, designing and executing the NFN exhibition, and preparing additional program elements (if applicable).
2.10 The final curatorial concept and action plan will be transferred to the Creative Producer of FC.
2.11 The Creative Producer of FC will be fully responsible for the productional execution of this Phase. CT is still available for correspondence.
Phase 4: Presentation at FCF
2.12 The NFN exhibition will be presented from Friday 14 November to Sunday 16 November 2025. The opening will take place on Friday 14 November (time TBA). Participants must be present for setup (Thursday 13 and Friday 14 November) and dismantling (Sunday evening 16 November). Travel reimbursement (see 4.5 for details) and accommodation (max. 3 overnight stays) will be provided by FC.
2.13 An online evaluation with FC will take place in Week (24 November – 28 November, exact date + time to be decided).
3. Obligations and Responsibilities
FC as Project Owner:
Organizes selection and meetings;
Guides Participants artistically and productionally;
Handles administration, production, and communication;
Provides accommodation and meals during NFNR;
Provides accommodation during FCF.
Participant:
Attends all mandatory meetings;
Provides written bio and photo portrait for promotional use;
Engages actively in co-creation;
Maintains clear and professional communication with FC and fellow Participants of CT;
Cooperates with FC for press and promotional materials.
4. Conditions of Participation
4.1 Participating in the Event is free of charge.
4.2 Participant must be available for mandatory meetings. Unjustified absences may affect participation and compensation.
4.3 Compensation will be paid as follows:
A compensation of €800 ex. VAT can be invoiced after Phase 1.
Travel costs (max. €75, receipts required), 3 x daily dinner fee (max. €25 per day, receipts required) can be reimbursed after Phase 1.
Additional compensation of €175 ex. VAT per day, with a max. of 2 days per Participant, 8 days in total divided amongst the CT, may be made after Phase 2 (if applicable).
Additional compensation of €175 ex. VAT per day, with a max. of 4 days per Participant, 16 days in total divided amongst the CT, may be made after Phase 4 (if applicable).
Travel costs for Phase 4 (max. €75, receipts required) can be reimbursed after Phase 4.
4.4 If the Participant does not own a valid VAT number, they can ask for a compensation form to receive the compensation.
4.5 Additional (international) banking costs are on behalf of the Participant.
4.6 Participant receives two tickets for guests to visit the NFN exhibition.
4.7 Participant will not receive tickets to other events or programs within FCF.
5. General Conditions
5.1 Any outcomes developed within NFNR/NFN may only be shared or exhibited externally with prior written approval from FC and must include proper crediting.
5.2 FC and Participant will credit each other’s contributions where applicable.
5.3 FC has the right to use photo, audio, or video recordings made during all phases of NFN for promotional purposes.
5.4 Participant is responsible for their own insurance throughout all phases.
5.5 FC upholds a safe working environment. Any form of harassment or discrimination is unacceptable. In case of undesirable behavior and/or harassment within the working environment, Participant should always turn to FC first. If this proves insufficient, Participant can reach out to Landelijk Bureau Integriteit en Vertrouwenspersoon.
5.6 This agreement may only be terminated in writing with a valid reason. Early termination may affect financial compensation.
6. Choice of Law and Forum
6.1 The agreement between FC and the Participant, including these Terms & Conditions, is governed by Dutch law.
6.2 Any disputes arising out of or relating to the agreement between FC and the Participant must exclusively be brought before the competent court in Maastricht, The Netherlands.
